First, an ADI Trip Order (including destination, travel dates, number of passengers, etc.) is completed by the Group Leader on our website (www.americandestinations.com) or by speaking with an ADI Travel Consultant.



Next, a customized travel proposal is mailed to the Group Leader. The proposal will include your Customized Itinerary, Package Includes Page, Trip Agreement and Tour Disclaimer..

Customized Itinerary:
ADI will work closely with the Group Leader to form a Customized Tour Itinerary to meet classroom objectives, interests and budget. An ADI Account Manager will be assigned to the Group Leader to assist in every stage of planning.

Package Includes Page:
Attached to the Customized Itinerary is your pricing information, referred to as the Package Includes Page. This page will list everything that is included in the tour package.

Trip Agreement:
A contractual Trip Agreement is signed by the Group Leader and returned to ADI with a one time booking deposit of $100.00 (not per person). The $100.00 deposit is applied to the final balance. The signed Trip Agreement will serve as your commitment to travel with American Destinations, Inc. and that ADI is to begin the reservations process for your tour. Reservations will not be made until your signed Trip Agreement is received. The agreement also acknowledges the fact that you have read and agree to the Terms and Conditions/Refund Policy set forth by ADI and that every tour participant (parent/guardian) will receive a copy of said policy (policy is stated on Parent Permission Form).

Tour Disclaimer:
The Tour Disclaimer will advise the Group Leader of any pertinent information specific to your customized tour.



The ADI reservations department will receive your itinerary and reservations for hotels, attractions, meals, etc. will be requested per the itinerary. If necessary, revisions or amendments to the original proposal will be made. The Group Leader will be contacted by his/her ADI Account Manager for approval.



Upon approval, an Approved Itinerary/Package Includes Page is mailed to the Group Leader which contains a schedule for deposits (1/3 due within 30 days, 1/3 within 60 days and final payment due in the ADI office 45 days prior to departure date). It also includes: specific trip information about attractions, hotels, restaurants, transportation, etc.



our ADI Account Manager will give you a pass code to enter a secured section of our website for convenient access to Group Leader Support Materials that will help you to organize your tour. Such materials will include: Parent Permission Forms, Terms and Conditions/Refund Policy information, Rooming List Forms, Suggestions for Group Leaders, Suggestions for Chaperones, Student Guidelines for Travel, Emergency Communication Plan, etc. If you do not have access to the internet, please contact your Account Manager for these materials.



Please contact your Account Manager to advise him/her of your final passenger count 60 days prior to your departure date. Upon notification of final count, ADI will send a Final Invoice with payment in full due 45 days prior to trip departure. Changes can not be made to your itinerary at this point, nor can any participants be added. Please be advised that your motorcoach(es) will not report if payment in full is not received prior to your departure date.



Your Rooming List will also be due 60 days prior to departure. For your convenience, it can be completed/submitted via our website. The Rooming List is forwarded to your hotel with a request that the group be housed as a unit for effective nighttime supervision.



Approximately two weeks prior to departure, the Final Itinerary and the Tour Manager assignment are mailed to the Group Leader, including Personal I.D. Tags and Luggage Tags for each passenger.
